E. Bookstore

The Colgate University Bookstore, located on the first floor of the O'Connor Campus Center, serves a wide range of student and faculty needs. The bookstore stocks all books required or recommended for courses, paperback books of general and scholarly interest, and books written by Colgate authors. The bookstore also sells notebooks, other stationery and office supplies, records, Colgate memorabilia, and various other sundries.

Among the services provided by the bookstore to faculty members are the following:

1. Books and Other Supplies for Students All books, maps, and other supplies to be purchased by students for use in a course should be ordered through the Colgate University Bookstore according to the procedures outlined below:

a. Orders are to be typed in quadruplicate on a text or supply adoption form provided by the University Bookstore and available from department secretaries or from the bookstore. The adoption form must be signed by the instructor. The original copy is retained by the instructor; the second, third, and fourth copies are sent to the bookstore, which will verify receipt of the adoption form by return mail.

b. Orders for the fall term and fall study groups are due by April 1, spring term and spring study groups are due by October 15.

c. When ordering, the quantity needed should be stated as accurately as possible by the faculty member. The store obtains early registration figures for courses from the Registrar, but if these are likely to change the instructor is requested to advise the store when this information becomes available.

d. There are three columns on the text adoption form which are extremely important to the instructor and the bookstore. (1) Required, recommended If the latter, the store would like to know the number of copies which the instructor suggests ordering. (2) Month the books are to be assigned This information enables the bookstore to try to have at least the first month's selections here in sufficient quantity at the beginning of the term. (3) Limit The maximum number of students you will allow in your course and/or section.

e. All special materials, recommended or required, should be ordered in the same manner as textbooks, using, however, the supply adoption form provided by the bookstore. Such materials include drawing equipment, special graph paper, lab notebooks, etc.

f. To obtain photocopied materials for a class, faculty should place an order with University Printing and mark the adoption form in the appropriate space.

g. Prior to the opening of each term, a "Master List of Textbooks" is prepared for student, faculty, and store use. It is therefore necessary that the store be informed of courses in which no text is required.

h. The store has available for faculty use the following publications: Books in Print and Paperbound Books in Print, Forthcoming Books and Subject Guide to Forthcoming Books, and publishers' catalogues. These are for obtaining the ISBNs (International Standard Book Numbers) for texts.

j. Textbooks will be removed from the shelves and returned to the publisher beginning November 1 for fall term and April 15 for spring term. A notice to that effect will be issued to both the faculty and students prior to these dates.

Instructors must not collect money from students for special materials to be used in a course, since the bookstore must collect sales tax on those items, as required by New York State Law.

Since book orders for class use take an increasingly long time for publishers to process and deliver (in part because of low inventories and the need for additional printings), it is important that instructors adhere to the book ordering deadlines which are announced each term. This is especially true for overseas orders, including foreign language books ordered by U.S. importers. These should be ordered thirty days prior to the stated term deadlines.

Bookstore personnel will contact the instructor in writing as soon as the Bookstore is informed by the publisher of course books not available, or any delayed delivery times. When inquiring about the expected arrival date of a particular book, the faculty member should provide the store personnel with the publisher's name, title and author of the book, and course name and number so the appropriate file can be pulled without delay.

2. Department Requirements Books and pamphlets for departmental use are to be ordered through the University Bookstore.

3. Special Orders Upon request, the bookstore will order individual copies of any book and help obtain other items for the personal use of faculty members. No charge is made for this service, but a guarantee of purchase is required. Those items sold at a discount will have actual postage charges added to the purchase price.

4. Examination or Desk Copies To obtain a complimentary examination or desk copy of a book, or a copy of a particular title "on approval," faculty members must communicate directly with the publisher's representative or the publisher. Forms for requesting desk copies are available from the bookstore. Publishers generally accept requests for examination copies if the requests are written on departmental letterhead and if the instructor supplies such information as the course title and number, the term offered and expected enrollment. Any charges for examination copies must be paid by the individual faculty member or his or her department.

Faculty who require several copies of particular books for examination purposes should discuss ordering procedures with the Book Department Manager or Bookstore Director.

5. Magazine Orders Faculty members or students wishing magazine subscriptions for their personal or class use may order them from the bookstore.

6. Charging Privileges Faculty members may charge purchases of $5.00 or more to an academic department (with the permission of the department chair). Faculty wishing to make personal charges at the bookstore may do so using their MasterCard or VISA card.

Return of any merchandise purchased at the bookstore must be accompanied by the pink copy of the charge slip to insure proper credit. Course books charged to a department must be returned in new condition prior to November 1 for fall term and April 15 for spring term.

7. Faculty and Staff Discount on Cash Purchases The bookstore offers Colgate University faculty and staff members a 10 percent discount on the majority of items stocked in the store on purchases totaling more than $2.00. The Colgate ID card must be presented to insure the 10 percent discount. Please note that special orders which are sold at discount will have actual freight or postage added to the post-discounted price.
